Get in, open up, set the room, and receive the guys. Most of this is done before 5:30.
Sign in on the app before anything else. Your shift starts at 5:15 on site.
Tonight's food is delivered, usually between 5:00 and 5:30 during setup. You receive it and prep it as part of setup below.
You need it to get in through the side door.
Use the side door closest to the park. Tap the card once against the scanner, wait for the green light, then pull the door outward. Instructions are printed on the card.
Enter by the side door closest to the park. The main alcove door is not the entrance.
Leave the side door unlocked while facilitators are on site, so late arrivals can let themselves in. It is locked at pack down. You are responsible for the entry while it is unlocked — keep an eye on who goes out and in.
Go around the corner, past the kitchen door, to the light switches. Turn all lights on.
The main room has manual light switches. The store rooms and the cleaning-supply area (where the mop is) have automatic lights, so they come on by themselves when you go in.
If the temperature calls for it, turn the AC on. There is no temperature control — on or off. Shutdown is automatic at the end of the night.
The door opposite must stay locked — it leads to the outdoor playground. Only unlock it if you open it for a structured, observed activity.
The playground door stays locked unless you open it for a structured, observed activity.
Release the latch at the top and bottom of both doors and open them fully before moving anything.
Get out one table for each young man on tonight's roster, and arrange them to suit the night's activity. Use your judgment on placement — if unsure, a simple layout the guys can sit around works fine.
Check the roster above for tonight's numbers.
Bring the chair trolley to the right hand side, against the board wall. Guys grab their own chairs from here as they arrive.
On top of the cupboards on the right of the storage room, labelled Dynamic Support WA Activities Box. Leave it on a table so mentors can start activities and the guys can help themselves.
Bring out all the board and card games from cupboard 4 and put them out on the tables so the guys can help themselves.
This is what's on site for now. The box may grow.
Bring out all the snacks and put them out on the tables (and along the raised island bench) so the guys can help themselves. Decant into bowls where possible.
The delivery usually arrives between 5:00 and 5:30. The facilitator, or a delegated mentor, meets it at the side door and brings everything inside. Don't leave anything in the alcove or carpark.
If the delivery doesn't arrive at all, contact the Group Program Leader.
Confirm what arrived matches tonight's order. If anything's missing or wrong, message the Group Program Leader.
Anything cold or frozen goes in the fridge. Everything else stays out ready to prep.
Bring everything you'll need for the food out of cupboard 4 and set it on the kitchen bench so it's all ready to use before the night starts.
Some of these are still being stocked. Get out whatever is in cupboard 4.
Remove all plastic and cardboard from the food, load it onto oven trays lined with baking paper, and stage the trays on the stovetop ready to go. Note the cooking temperature and time from the packaging before you bin it.
From about 5:30, stand at the side door. Greet each young man, tick him in on the roster above, and make sure his assigned mentor connects with him.
Anyone still unticked on the roster at 6:00 is an absentee. Message the Group Program Leader with the final attendance and absentee list shortly after — once the activity is underway, so you are not texting while starting the session.
Pick tonight’s structured activity. Tap a game for the full run sheet — what to say, how to run it, and what good looks like.
Fire, a medical emergency, violence or threats: call 000 first, before anything else.
Emergency (Fire, Police, Ambulance)000 Police, non-urgent131 444If you can’t tell what kind of alarm it is, treat it as a fire alarm and get everyone out first. Only use a fire extinguisher if it’s safe and you’re trained to.
For example: a security alarm going off, the keycard or side door not working, a door that won’t lock at pack down, or someone on site who shouldn’t be. If that person is threatening anyone, call 000 instead.
City of Cockburn security1300 267 233For example: a power outage, an electrical fault, a water leak or flooding, or blocked toilets.
City of Cockburn facilities(08) 9411 3444Small things that can wait, like a dripping tap or a light out, don’t need a call. Just tell the Group Program Leader.
Once everyone is safe, message the Group Program Leader with what happened and what you were told. Then include it in your reflection at sign-out.
Incident report: the facilitator and every mentor on shift must each submit an incident report for the event in ShiftCare, before the end of the shift if possible.
